This Privacy Policy explains how the Fort Myers ITSM Insights Meetup ("we", "us", or "our") collects, uses, discloses, and safeguards personal information when you visit fortmyersitsm.com, submit an RSVP, attend events, or contact us. We collect only the minimal data necessary for meetup operations and do not sell or monetize personal information.

1. Information We Collect

  • RSVP Data: Name, email, job title, and company collected via our website RSVP form and stored securely in AWS DynamoDB (US-East-1 region). Data is used for event confirmation emails, attendance planning, and event reminders. Access is limited to the event organizer. Data is not shared with third parties except AWS SES (Amazon Simple Email Service) for email delivery.
  • Website Logs: IP address, browser, timestamps — security & basic analytics only.
  • Communications: Emails and messages you send us are retained for response and records.

Cookies and Similar Technologies

Our website does not use cookies, tracking pixels, or similar technologies for advertising or profiling.

Do Not Track Signals

We do not respond to Do Not Track (DNT) browser signals because we do not use tracking technologies that would be affected by them.


2. How We Use Your Information

  • Event reminders, updates, and follow-ups only (no unrelated marketing).
  • Attendance planning and group improvement.
  • Responding to inquiries and feedback.
  • Site security and basic maintenance.

We do not use your personal information for automated decision-making or profiling.

3. Sharing of Information

We do not sell, rent, or trade personal information. We share data only with:

  • Trusted service providers (e.g. AWS SES for email delivery, AWS for data storage) under strict confidentiality obligations
  • Authorities when required by law or to protect rights/safety
  • Successors in a business transfer (with notice where possible)

Event Photos, Video & Attendance

We may take group photos or short videos at in-person events for our website and social media to promote the meetup. By attending, you consent to this unless you notify us in advance or at the event to exclude you. We will make reasonable efforts to honor requests (e.g., no close-ups). Photos/videos are not sold and are used only for non-commercial group purposes. Attendees are responsible for their own interactions and sharing; we are not liable for what others do with information shared voluntarily at events.


4. Data Retention

RSVP and contact data are kept 12–24 months after last interaction or group inactivity, then deleted or anonymized. Server logs are retained shorter-term for security purposes.

5. Your Privacy Rights & Choices

You may request to access, correct, or delete your data; opt out of future emails (honored promptly); or opt out of any sale/sharing (none occurs). California residents: CCPA/CPRA rights apply; no discrimination for exercising them. Submit requests via email; we respond within 45 days.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method is 100% secure; we cannot guarantee absolute security.


7. Third-Party Services & International Transfers

Our RSVP backend uses AWS Lambda and DynamoDB (US-East-1 region). Email delivery is handled by AWS SES (Amazon Simple Email Service), operated within our existing AWS infrastructure. All confirmation emails include an unsubscribe/cancel mechanism per CAN-SPAM requirements. Any external links follow their own privacy policies. Data is processed in the US.

Google Analytics 4

We use Google Analytics 4 (GA4), a web analytics service provided by Google LLC. GA4 collects information about your use of this website (pages visited, time on site, general location, device type) via cookies and similar technologies. This information is transmitted to and stored by Google on servers in the United States. Google may also transfer this information to third parties where required by law, or where such third parties process the information on Google's behalf.

GA4 does not collect your name, email address, or any information you enter into the RSVP form. We use GA4 to understand how visitors find and use this site so we can improve it. The data is aggregated and anonymous.

You can opt out of GA4 tracking by installing the Google Analytics Opt-out Browser Add-on or by adjusting your browser's cookie settings. For more information, see Google's Privacy Policy.

8. Children's Privacy

Our site and events are not directed to children under 16. We do not knowingly collect personal data from anyone under 16. If we become aware of such collection, we will delete it promptly.

9. Changes to This Policy

Updates are posted here with a revised date. Continued use of our site or attendance at events after changes constitutes acceptance. We encourage you to review this policy periodically.
